What is integrated card processing?
Integrated card processing is a payment setup in which a store’s card reader communicates directly with its POS software, allowing payment data to flow between the two systems automatically.
How does integrated card processing work?
When a cashier rings up a sale in the POS, the software sends the transaction total directly to the card terminal — no manual re-entry required. The customer pays, the terminal returns an approval or decline, and the result is recorded back in the POS automatically. The whole loop runs without a staff member ever touching the terminal amount.
Why integrated card processing matters
Without integration, staff must manually key the sale amount into the card terminal after ringing up a transaction in the POS. This opens the door to entry errors, missed transactions, and end-of-day discrepancies.
With integration, the checkout flow is a single continuous process. The POS and the terminal stay in sync, reporting is accurate, and the risk of human error at the register is significantly reduced.
For resale stores processing many transactions per day — especially those running centralized checkout across multiple vendor accounts — integrated card processing is generally the cleaner and more reliable approach.
Trade-offs to consider
Integrated processing is the right call for most stores, but two real trade-offs are worth knowing before you commit.
Fees. Integrated processors charge for the convenience. On $500,000 in annual revenue with 10,000 transactions, even a small difference in the per transaction cost adds up to thousands of dollars a year. Run the numbers before signing anything.
Vendor lock-in. Some POS systems require you to use their built-in processor. That removes the competitive pressure that keeps fees low, and it means switching POS software later may force a processor change too. Look for a system that either gives you processor flexibility or uses a transparent, well-regarded provider you’re comfortable with long term.
